What information do we collect?

Moss Men Surrey Ltd is the data controller for this website: the organisation responsible for deciding how personal information is used. Its registered office is 55 Wolsey Close, Worcester Park, KT4 7EF. Company number 17494057, registered in England and Wales.

The enquiry form collects your name, phone number, property address, postcode and roof message. Photographs are optional. It also records the page you sent the enquiry from, a receipt reference, submission time and delivery status. You can call or email instead of using the form.

The first look at your roof also uses publicly accessible property images from Google Street View and Google Earth.

The staff upload page collects a job town, date, cleaning method, roof covering, problem, work carried out and outcome, with photographs, their stage and notes. Job uploads remain private until separately approved for publication. A photograph can contain personal details or location metadata, so avoid including people, number plates or unrelated documents.

The website uses your internet address to limit repeated submissions and sign-in attempts, storing a hashed identifier for that check. It also keeps technical delivery and security records.

How do we use and keep your information?

Your enquiry details and photographs help the team look at your roof, respond to your request, prepare a written quote and arrange agreed work. The lawful basis is taking steps at your request before a contract, then performing that contract. Information needed for accounting is kept to meet legal obligations. Protecting the website, handling complaints and recording guarantee work rely on legitimate interests, balanced against your rights.

Using a job photograph to check or document work does not automatically authorise its public use. Separate permission is obtained before publishing identifiable customer photographs or testimonials. Where consent is used, you may withdraw it at any time without affecting earlier lawful use.

The following retention periods apply to the stated records only. Deleting a temporary website copy does not delete a copy already received in the enquiry system or email. Required tax records or records relevant to a dispute may need to be kept longer, with access limited to that purpose.

Record Retention
Temporary enquiry delivery copy and photographs Deleted 30 days after receipt.
Enquiries and quotes that do not become jobs Delete 12 months after the last contact.
Agreed work, invoices and guarantee records Keep for six years after the end of the financial year concerned, then review and delete what is no longer required.
Unapproved staff job photographs and notes Review within 90 days of upload; delete material no longer needed for a job, complaint or approval.
Approved customer photographs used publicly Review annually and remove when permission ends or the material is no longer needed.
Website security logs and rate-limit records Daily log files and inactive rate-limit files are deleted once they have not been updated for 30 days.

Who receives your information?

Enquiries go to Leadboard, the enquiry system used for Moss Men leads, and to Dave at Moss Men Surrey by email. Delivery includes the details needed to follow up your request and the photographs supported by that channel.

Website hosting and email delivery providers also process information needed to provide their services.

Information may also be shared where a legal duty or a properly established legal claim requires it.

How can you contact us about privacy?

The UK GDPR and Data Protection Act 2018, as amended, give you rights over your information.
